Provider Terms and Conditions
The contractual relationship between BookHorseRiding and Service Providers.

These Provider Terms and Conditions ("Provider Terms") govern the relationship between BookHorseRiding and any person or organisation ("Provider") that applies to list equestrian experiences on the BookHorseRiding platform. By submitting an application, publishing an experience or accepting a booking, you agree to be bound by these Provider Terms in addition to BookHorseRiding's general Terms and Conditions.
1. Provider Eligibility
To be eligible to list experiences on BookHorseRiding, providers must:
Be a registered business or individual operator legally permitted to provide equestrian services.
Hold appropriate insurance cover for all activities listed.
Operate in compliance with all applicable laws and regulations in their country of operation.
Agree to BookHorseRiding's horse welfare, safety and operational standards.
Successfully complete the BookHorseRiding verification process.
2. Provider Registration
Providers must complete the BookHorseRiding registration form and submit all required documentation. Incomplete applications will not be reviewed. BookHorseRiding reserves the right to decline any application without providing reasons.
Providers must acknowledge and accept these Provider Terms before submitting an application, publishing any experience or accepting any booking.
3. Provider Verification
All providers undergo a verification process before being approved to list experiences. The verification process may include review of:
Business registration documentation.
Identity documentation for individual operators.
Insurance certificates and policy details.
Professional qualifications and certifications.
Proposed experience descriptions and suitability assessments.
BookHorseRiding may request additional documentation at any time. Failure to provide requested documentation may result in suspension or removal of the provider account.
4. Business Information Requirements
Registered business operators must provide:
Legal business name and trading name where applicable.
Country and jurisdiction of registration.
Business registration number.
VAT or tax identification number where applicable.
Registered business address.
Authorised representative contact details.
5. Identity Verification
Individual operators and authorised representatives of business entities may be required to provide identity verification including:
Government-issued photographic identification.
Proof of address.
Any additional documentation required to verify identity in compliance with applicable regulations.
6. Insurance Requirements
Providers are solely responsible for maintaining appropriate insurance cover applicable to the activities they offer. At a minimum, providers must hold valid public liability insurance covering equestrian activities. Additional cover may be required depending on the nature of activities offered.
Providers may be required to submit:
Current insurance certificates confirming policy type and coverage amounts.
Policy numbers and insurance provider details.
Policy expiry dates.
Evidence of any specialist equestrian or outdoor pursuits endorsements.
Updated documentation upon renewal or any change to cover.
BookHorseRiding reserves the right to approve, reject, suspend or remove provider listings where insurance requirements are not met or maintained. Providers must notify BookHorseRiding immediately of any change to or lapse in insurance cover.
7. Experience Listings
Providers are responsible for the accuracy, completeness and currency of all experience listings. Listings must include accurate descriptions, suitability requirements, pricing, availability and any applicable restrictions.
Listings must not be misleading, inaccurate or incomplete.
Providers must update listings promptly when information changes.
Pricing must be clearly stated and must not be changed after a booking is confirmed.
Suitability requirements must be accurately stated to ensure rider safety.
8. Provider Responsibilities
Deliver experiences as described in confirmed bookings.
Maintain safe, appropriate facilities for all listed activities.
Ensure horses used in activities are suitable, trained and fit.
Provide appropriate supervision for all experience participants.
Comply with all applicable laws, regulations and professional standards.
Respond promptly to rider enquiries and booking communications.
Maintain current, accurate profile and listing information.
Uphold BookHorseRiding's horse welfare and safety standards at all times.
9. Booking Management
Providers are responsible for:
Managing experience availability and keeping schedules up to date.
Honouring all confirmed bookings.
Updating capacity and availability in the provider dashboard promptly.
Managing waitlists where applicable.
Communicating promptly with riders regarding confirmed bookings.
Delivering experiences as advertised.
10. Pricing and Fees
Providers set their own experience prices. Prices must be stated clearly and must include all mandatory charges. BookHorseRiding charges a commission on each confirmed booking as set out in the current fee schedule available in the Provider Dashboard.
11. Commission Structure
BookHorseRiding's commission rate is applied to the booking value at the time of each confirmed transaction. The current commission rate is displayed in the Provider Dashboard. BookHorseRiding reserves the right to update its commission structure with reasonable notice to providers.
12. Payment Processing
Payments from Riders are processed by BookHorseRiding on behalf of Providers. Provider payouts are calculated after deduction of the applicable commission and payment processing fees. Payment schedules and payout arrangements are detailed in the Provider Dashboard.
13. Provider Cancellations
Providers must minimise cancellations. Where a Provider is required to cancel a confirmed booking, they must:
Notify the affected Rider as soon as possible.
Notify BookHorseRiding of the cancellation through the Provider Dashboard.
Facilitate a full refund to the Rider.
Take all reasonable steps to rebook or reschedule the Rider where possible.
Repeated or unreasonable cancellations may result in suspension or removal of the provider account.
14. Customer Cancellations
Providers must clearly state their cancellation policy on each experience listing. Cancellation policies must be fair, transparent and applied consistently. BookHorseRiding may review provider cancellation policies and require amendments where policies are considered unreasonable.
15. Refund Responsibilities
Where a refund is due to a Rider — whether as a result of provider cancellation, failure to deliver the experience as described, or under the provider's stated cancellation policy — the Provider is responsible for ensuring the refund is processed promptly. BookHorseRiding may facilitate the refund process and may deduct refund amounts from future provider payouts where necessary.
16. Horse Welfare Requirements
Providers must treat all horses humanely at all times. Providers must:
Comply with all applicable animal welfare legislation in their country of operation.
Ensure horses are suitable, fit and appropriately trained for the activities advertised.
Provide suitable equipment and tack in good condition.
Provide appropriate nutrition, rest, veterinary care and living conditions for all horses.
Not knowingly expose horses or riders to unreasonable risk.
Remove any horse from activity immediately where welfare concerns arise.
BookHorseRiding reserves the right to investigate welfare complaints. Providers who fail to maintain welfare standards may have their listings suspended or permanently removed.
17. Safety Obligations
Providers must:
Provide accurate and complete experience descriptions including all suitability requirements.
Assess rider suitability before permitting participation in any experience.
Maintain safe facilities, equipment and apparatus.
Use horses that are appropriate for the stated level and nature of the activity.
Provide appropriate levels of supervision for all experience participants.
Maintain and communicate emergency procedures to participants.
Comply with all applicable local safety regulations and professional standards.
18. Data Protection
Providers must comply with all applicable data protection legislation in their jurisdiction. Rider information shared through the BookHorseRiding platform may only be used for the purposes of managing the confirmed booking. Providers must not use Rider data for any other purpose without the Rider's explicit consent.
19. Reviews and Ratings
BookHorseRiding may publish Rider reviews of Provider experiences. Providers must not attempt to manipulate, remove or artificially inflate reviews. Reviews form an important part of the trust infrastructure of the Platform and any manipulation of the review system may result in account suspension.
20. Suspension and Termination
BookHorseRiding reserves the right to suspend or terminate Provider accounts where:
These Provider Terms have been breached.
Insurance requirements are not maintained.
Safety or welfare standards are not upheld.
Fraudulent, misleading or illegal activity is identified.
Suspension or removal is required for operational, legal or compliance reasons.
Administrators and Super Administrators may suspend provider accounts, request additional documentation, remove experiences or revoke verification status where necessary for safety, compliance, operational or legal reasons.
21. Intellectual Property
Providers grant BookHorseRiding a non-exclusive, royalty-free licence to use, display and promote experience listings, photographs and content submitted to the Platform for the purposes of marketing and operating the BookHorseRiding marketplace. Providers retain ownership of their submitted content.
22. Limitation of Liability
BookHorseRiding acts solely as a marketplace platform. Providers remain solely responsible for the experiences they offer and deliver, including the safety, quality and accuracy of those experiences.
To the fullest extent permitted by law, BookHorseRiding shall not be liable for any claims, losses, damages or liabilities arising from the Provider's conduct, experiences or failure to comply with these Provider Terms.
Nothing in these terms excludes liability where exclusion is prohibited by applicable law.
23. Dispute Resolution
In the event of a dispute between a Provider and a Rider, BookHorseRiding may assist in facilitating resolution at its discretion. Disputes between Providers and BookHorseRiding that cannot be resolved informally will be referred to the dispute resolution provisions of applicable law.
24. Applicable Law
These Provider Terms shall be governed by and construed in accordance with applicable law. BookHorseRiding reserves the right to update these Provider Terms at any time with reasonable notice. Continued operation as a Provider on the Platform following any update constitutes acceptance of the revised Terms.
